Everwood website and tour enquiry privacy policy

Last updated 18 October 2026

Who we are

Everwood Early Education – Forrestdale is at 30 Anstey Road, Forrestdale WA 6112. Our approved childcare provider is EVERWOOD EARLY EDUCATION PTY LTD. This policy describes information handled through www.everwoodedu.com.au, tour bookings, enquiries and related follow-up. The website is for parents and carers.

For privacy enquiries, contact Herman at herman@everwoodedu.com.au, call 08 6150 4922, or write to Privacy enquiry, Everwood Early Education – Forrestdale, 30 Anstey Road, Forrestdale WA 6112.

This website policy does not describe every aspect of childcare enrolment, health, attendance, employment or other centre records. Please contact the centre for information about those records.

Information you provide

We receive information when you book or attend a tour, complete an enquiry form, telephone, email or message us. This includes your name, email address, telephone number, tour details, questions and correspondence. Depending on the enquiry, it also includes your child’s name, age or date of birth, preferred start date and care requirements. We record the progress of enquiries, tours and enrolments to help us respond and manage follow-up.

Please provide information about a child only as their parent, carer or authorised representative. Avoid including medical, developmental or other sensitive details in a general website enquiry. Contact the centre to arrange an appropriate way to discuss them.

You can ask a general question without identifying yourself where your identity is not needed to answer it. We need contact and booking details to arrange a tour online. You can telephone the centre if you prefer not to use the online booking service.

The CCS calculator uses the income and care assumptions you enter to calculate an estimate on the page. Using the calculator does not book a tour or submit an enrolment application.

Website and advertising information

Our website uses cookies, pixels and browser storage. Our website and analytics providers receive information such as browser and device details, IP address and approximate location, referring pages, pages visited, visit timing, scrolling and button interactions. We use website measurements to understand how people use the site, including on phones and computers, and to improve it.

Advertising links can contain campaign information and click identifiers from Google or Meta. Booking information can be linked with those identifiers to measure which advertising leads to enquiries and bookings. Google and Meta may be able to match information they receive with information they already hold.

Our Meta booking measurement also has a server connection. It sends a completed-booking event and booking identifier, together with hashed versions of the booking email address, first name, last name and an external identifier. Hashing transforms these values for matching; it does not make them anonymous. This measurement is separate from the calendar displayed in your browser.

How information is used and who receives it

We use enquiry and booking information to answer questions, organise tours, send confirmations and reminders, follow up interest in care, and maintain our contact records. Our systems include:

  • Wix for the website and its hosting;
  • Calendly for tour scheduling;
  • HubSpot for contact and enquiry records;
  • Make for connections between booking, contact and advertising systems;
  • ClickSend, Google email and calendar services, and our business phone and messaging services for communications;
  • Google Analytics, Google Tag Manager, Google Ads and Meta tools for website and advertising measurement and campaign management.

These services receive the information needed for the functions in which they are involved. For example, the booking provider receives information entered into its booking form, while a messaging provider receives the destination and message content.

OpenAI tools, including ChatGPT and Codex, assist with administration, such as reviewing enquiry correspondence, organising follow-up and preparing communications. Information supplied for that work can include contact and booking details, messages and attachments. We also use Anthropic’s Claude to help prepare website content. These are external services; information supplied to them is processed under the relevant service terms and account settings.

Enrolment links open Xplor, where you provide additional information for enrolment. EarlyWorks and Xplor also support communication with enrolled families. Directions links open an external map service. Those providers explain their own handling in their privacy information; their notices do not replace our responsibility for information we provide to them.

Your choices

To stop promotional follow-up, email herman@everwoodedu.com.au or call 08 6150 4922 and tell us which email address or telephone number the request concerns. You can also use the unsubscribe method included in a marketing message. Booking a tour is not blanket permission for unrelated marketing. A request to stop promotional messages is different from cancelling a booked tour; tell us if you also want to cancel or change the booking.

Your browser can block or delete cookies and site storage. This may affect site features. Browser controls do not necessarily stop server-based measurement or remove information already received by another provider. Google and Meta also provide controls within their own accounts. You can contact us about the use of your information or arrange a tour by telephone.

Photographs and reviews

The website includes photographs, videos and review excerpts about Everwood. Public website content can be viewed, copied or indexed by others. Contact Herman if you have a concern about an image, attribution or review, or want to discuss an authorisation you have given. Please identify the page and material concerned so we can locate it.

Where information is held

Enquiry, booking and correspondence records are held in the business accounts described above and in working records on computers and phones used for the business. Access to the business accounts requires sign-in. Copies can also remain in message histories, exports and service-provider backups. Completing or cancelling a tour does not automatically remove every related record.

Our providers operate internationally. Information can be processed outside Australia. Wix identifies the United States and Ireland for data-centre storage and Israel for its processing operations. Calendly operates from the United States. Other providers use international infrastructure and support teams. ClickSend’s published likely overseas destinations include the United States, United Kingdom, New Zealand, Brazil, Vietnam and the Philippines. These are provider disclosures, not a statement that every record is sent to every country.

The provider links below explain their international operations and handling. The location and retention of a particular record depend on the service involved, its configuration and applicable requirements. You can ask us about the systems holding your information, whether it is still needed, and options for correction or removal. Childcare records can be subject to specific legal retention requirements.

Access, corrections and privacy concerns

You can contact Herman to request access to or correction of your personal information, ask about its use, or raise a privacy complaint. Describe the information or issue and how you would like us to contact you. We may need to confirm identity and authority before disclosing information, particularly information about a child. Do not send identity documents unless requested through an appropriate process.

If you are not satisfied with our response, or have not received a response to a privacy complaint within 30 days, the Office of the Australian Information Commissioner explains the next steps at https://www.oaic.gov.au/privacy/privacy-complaints/lodge-a-privacy-complaint-with-us.
